Submission Terms and Conditions
How to enter

Artworks must meet size and delivery time requirements

Photographs of art works being submitted are to be provided with the entry form and will be used at the first stage of judging. You will be notified by email if you are successfully chosen to exhibit.
Cost to enter

$50 per artwork (Maximum 2 works per entrant).

Entry fees are non-refundable, including in circumstances where an entrant is not selected as a finalist.

By submitting an entry, entrants acknowledge and agree that entry fees are applied toward the administration and ongoing operation of the Prize, including but not limited to staffing, judging, marketing and promotional activities, exhibition and event delivery, operational expenses, and the funding of prize awards.

2-D works (any medium, including digital)

Artwork size limit

2-D works – 1.5m x1.5m (or 6m in circumference) – including frame

3-D works – 600mm in any direction

Digital works – File size limit 25MB

Supported files include JPG, PNG, GIF, JPEG, JPE, JFIF, BMP, HEIC, HEIF, TIFF, TIF, WEBP, AVIF, JPEG 2000 and RAW. Please note animated WEBP images are not supported and will be converted to a static image.

Sizes are strictly enforced, any not meeting the above requirements will not be exhibited.

Two-Stage Selection Process
This Art Prize consists of two stages:

Stage One – Pre-selection:
All submissions will be reviewed based solely on the images and information provided on the initial entry form. The judging panel will select a shortlist of finalists based on these digital submissions.

Stage Two – Final Exhibition & Judging:
Finalists will be invited to exhibit their physical artworks in the official Art Prize exhibition. The final judging and prize decisions will be made based on the physical works presented during the exhibition.
Image Quality Matters
Because the initial selection is based entirely on images, artists are encouraged to submit high-quality, well-lit, and accurate photographs of their work.
Submissions with poor image quality may be disadvantaged.
Artist’s Entry Requirements - First Stage

Title of artwork.

Artwork specifications (state any hanging requirements)

Artwork price.

Exhibition History: List any galleries or shows where the artwork has been displayed.

Artist statement: Briefly introduce your work how does it fit within our theme.

Medium: Specify the materials used (e.g., oil on canvas, mixed media).
-
High quality photo of artwork (this will be used in the first judging process)

Email and phone: Ensure your contact details are up-to-date.
Artist’s Entry Requirements - Second Stage

Artist’s biography: Provide a brief history of your artistic journey.
-
Bank account details should you sell the artwork during the exhibition.
-
Any display or hanging requirements.
Artwork specifications and hanging requirements
-
The artist’s name, title, date of creation and price of the work MUST be clearly written or labelled on the back of the work.
-
All 2-D artworks size to be 1.5m x 1.5m or less, INCLUDING frames/display apparatus.
-
All 3-D artworks size to be 600mm in any direction.
-
If framed: Framed artworks must be wired (picture hanging wire) AND have D-rings attached for hanging. NO sawtooth hangers.

All artworks selected must meet professional exhibition hanging standards. If not, they may be excluded.

Artists can enter multiple works as a single work only if they are approved by Hoop Gallery’s Art Prize staff and must adhere to the following guidelines:

2-D artwork components, when installed together as a whole, are to measure under 1.5m x 1.5m (6m in circumference). Any works over this size will be treated as multiple works.

3-D artwork components, when installed together as a whole, are to measure under 600mm in any direction. Any works over this size will be treated as multiple works.

Artworks with components are to be listed at a single price and will not be sold separately.

Artworks with components are to be listed as a single work (with a single title) and will not be labelled separately.
Judging Criteria
Artworks will be assessed on:

Evidence of exceptional technical skill
-
Aesthetically outstanding
-
Originality and innovation
-
Relevance to the theme
-
Overall impact.
The decision of the judges is final.
Artist’s role in exhibiting artworks
-
All artworks will be hung by Hoop Gallery staff
-
There is no requirement for artists to assist in hanging their artwork.
-
Finalists will be asked to help ‘sit’ in the gallery on weekends, a roster will be available for sign up.
Artwork sales
-
When artworks are sold, the bank details supplied in the second stage of selection will be used for payment.
-
It is the artist’s responsibility to ensure bank details are correct at time of entry.
-
Artist settlements are prepared and finalised up to 30 days after the end of the exhibition.
Gallery commission
-
Hoop Gallery will take 30% commission on any works sold (inclusive of GST)
Artwork delivery and pickup
-
Delivering in person: Artwork must be delivered between Sunday 6th December 2026 between 2-6pm and Monday 7th December 2026 between 9-11am
Bump In/Delivery guidelines
-
Artworks are to be delivered in set timeframes (above) to Hoop Gallery, 77 Beach Road, Torquay VIC. 3228
-
Due to storage requirements, artwork will not be received by in-person drop off before 2pm on the Sunday 6th December 2026
-
If artwork is not delivered during the required dates, it will not be included in the exhibition and entry fees will not be refunded.
-
All artwork must arrive at Hoop Gallery ready to hang.
-
Packaging will not be stored by the gallery for artists dropping off works in-person.
Pickup dates
-
Artworks are to be collected from Hoop Gallery, 77 Beach Road, Torquay VIC 3228 on Sunday 10th January 2027 between 4-6pm and Monday 11th January 2027 between 9-11am.

Work not collected by this date will be charged a $25 late fee. – For each day not collected.
-
Works not collected by 30th January 2027 will be disposed of.

A proxy may be nominated by the artist to collect artwork on their behalf. Proxy’s names must be emailed to the Hoop Gallery Prize Team and their matching ID must be shown to collect the artwork.

Artists are responsible for bringing the appropriate packaging for transport of works upon collection.
Insurance

While Hoop Gallery will take the utmost care of artwork, Hoop Gallery takes no responsibility for theft, loss or damage of artwork.

Artists are encouraged to take out their own insurance to insure their artworks
Take note
-
The artwork statements are to be used for judging only, and will not be displayed in the exhibition.

It is the artist’s responsibility to ensure their artwork does not infringe on copyright.
-
Hoop Gallery will not accept artwork that is defamatory or reflects racism.
